We are looking for a proactive, organised and professional Office Administrator & Recruitment Coordinator to join our friendly office team. About the Role

As the first point of contact, you will provide a professional welcome to visitors, clients and staff while supporting the daily operation of our office. Working closely with the management and Care Coordinator teams, you'll provide administrative, recruitment and compliance support, maintaining accurate records in a busy, fast-paced environment. You will report to the Registered Manager and work as part of a small, supportive office team.

Key Responsibilities

Welcome visitors, staff and healthcare professionals in a friendly and professional manner, creating an excellent first impression of Facilitate Care Services. Answer and direct incoming telephone calls promptly and professionally. Manage office diaries, appointments and meeting schedules. Coordinate recruitment activities, including arranging interviews, liaising with applicants and preparing recruitment documentation. Provide administrative support to the Care Coordinator team, helping ensure the smooth delivery of care services. Maintain accurate and up-to-date staff records, including recruitment files, training records, DBS documentation, Right to Work checks, compliance records and personnel files. Maintain accurate electronic and paper client records, ensuring information is securely stored and regularly updated. Monitor and update staff training, compliance records, annual reviews and workforce documentation. Prepare letters, reports and general office correspondence. Scan, upload, archive and manage confidential documentation using electronic systems. Order office supplies, PPE and uniforms. Prioritise urgent administrative tasks relating to client care, staffing and operational needs. Support the management team with general office administration and contribute to the efficient day-to-day running of the office.

Skills & Experience Essential

Minimum 1–2 years' experience in an administrative role. Excellent communication, customer service and telephone skills. Strong organisational skills with excellent attention to detail. Good knowledge of Microsoft Word, Excel, Outlook and general office software. Confident using computer systems and willing to learn care management software, as this role involves working with electronic care records and other digital systems. Ability to accurately maintain confidential staff records and compliance documentation. Ability to remain calm and organised while managing multiple tasks and changing priorities throughout the day. Professional, friendly and approachable with a strong understanding of confidentiality, GDPR and data protection. Able to work independently and as part of a team.

Desirable

Previous experience within domiciliary care, healthcare or social care. Experience supporting recruitment, HR administration or compliance.

This role is mainly office-based, based full-time at our Coventry office with no regular travel required. Successful applicants must have the legal right to work in the UK. Please note that visa sponsorship is not available for this role.
