Rapid Resource are an agency supplying skilled contractors across a variety of sectors. Our team prides itself on delivering top-tier support to both our clients and our contractors. We're now looking for a proactive and well-organised Office Administrator to help keep everything running smoothly behind the scenes.

About the Role:

This role is Office Based: Monday - Friday. 9am-5pm.

As our Office Administrator, you’ll play a vital role in supporting the day-to-day operations of our team. This is a varied and hands-on position perfect for someone who enjoys multitasking, problem-solving, and working closely with both internal teams and external contractors.

Key Responsibilities:

* Travel Coordination: Book hotels and travel for contractors when required.

* Certification Checks: Ensure contractor certifications and compliance documents are valid and up to date.

* Payroll Support: Gather timesheets, assist in verifying hours worked, and liaise with payroll for timely payments.

* Administrative Support: Handle incoming calls and emails, maintain digital and paper filing systems, order office supplies, and keep general office operations organised.

* Contractor Onboarding: Assist with onboarding new contractors by collecting documentation and ensuring compliance with internal processes.

* Communication: Act as a point of contact between contractors, clients, and internal staff—ensuring clear and professional communication.

* General Support: Jump in where needed to help various departments with ad hoc tasks or project work.

* Strong Communicator: You're comfortable talking to contractors, clients, and colleagues, both in person and over the phone/email.

* Highly Organised: You can juggle multiple tasks, keep things in order, and meet deadlines.

* Detail-Oriented: You check the small stuff—because in this role, it really matters.

* Flexible: You’re adaptable and willing to help wherever needed.

Requirements:

* You must have previous experience in an office admin role to be considered for this role. Experience in a recruitment or contractor-based environment is favourable.

* Strong IT skills—comfortable with Microsoft Office but you must be a proficient user of Excel.

* Understanding of payroll basics and compliance (experience working with contractors is a plus).

* Ability to manage confidential information with discretion.
