Maintenance & Repairs Admin Coordinator

Property Services

Hours: 37 hours per week (full-time)

Salary: 28,000 per annum

Based in Luton

About the Role

We're looking for an organised and proactive Maintenance & Repairs Admin Coordinator to provide essential coordination and administrative support within Property Services.

You'll act as a key point of contact for repairs and void works, helping to prioritise workloads, support service delivery, and ensure our customers receive a professional, responsive service. You'll also support the Team Leader with scheduling, reporting, and meeting operational targets, while ensuring compliance with health and safety requirements - including Awaab's Law.

This is a busy, office-based role, ideal for someone who thrives in a fast-paced environment and enjoys working collaboratively.

What You'll Be Doing

Acting as the main point of contact for repairs, voids, and maintenance enquiriesCoordinating reactive repairs, planned works, and compliance activitiesLogging and managing work orders using internal IT systemsLiaising with customers, contractors, operatives, and inspectorsMonitoring progress, prioritising tasks, and maintaining accurate recordsSupporting health, safety, and compliance obligations (including gas, electrical, fire safety, and Awaab's Law)Delivering excellent customer service across phone, email, and online portalsSupporting the Team Leader with scheduling, reporting, and administrationGathering and responding to customer satisfaction feedbackContributing ideas to improve efficiency, quality, and service deliveryYou'll bring:

A strong customer-focused approach with excellent communication skillsThe ability to manage multiple priorities and work to deadlinesConfidence using IT systems and Microsoft Office (Word, Excel, Outlook)A good understanding of property maintenance processesAwareness of health & safety and compliance requirementsA proactive, problem-solving mindset and a willingness to go the extra mileEssential Criteria

GCSEs (or equivalent) in English and MathsExperience in an administration or coordination role within property servicesStrong organisational and planning skillsExcellent written and verbal communication skillsAbility to work independently and as part of a team in a fast-paced environmentDesirable:

Knowledge of housing or property maintenance regulationsExperience delivering service improvementsUnderstanding of building maintenance tasks and timescales
