Office & Operations Administrator
All London Glass (UK) Ltd – Totteridge, N20
Salary: £30,000 per annum
Hours: Monday–Friday, 9:30am–4:30pm
We are a busy, established glazing company looking for an experienced, highly organised and exceptionally accurate Office & Operations Administrator to join our small office team.
This is a varied and hands-on administrative role supporting the day-to-day running of a busy glazing business. It would particularly suit someone who enjoys organisation, paperwork and keeping on top of multiple jobs at different stages.
Accuracy is essential
This is a role where accuracy and attention to detail are absolutely essential.
Our work involves measurements, addresses, customer details, quotations, purchase orders, job sheets, glass specifications and scheduling. Errors can have significant operational and financial consequences.
We therefore need someone who naturally checks their work carefully before sending, ordering or processing anything, notices discrepancies and takes pride in getting things right first time.
A predominantly paper-based office
It is important that applicants understand that we are not a paperless or predominantly computer-based office.
We operate a busy, traditional paper-based system, with a substantial volume of physical paperwork moving through the office every day. We use job folders, paperwork trays, printed documents and manual filing and checking systems to track jobs through their different stages.
The successful applicant must be comfortable handling a heavy volume of paperwork, maintaining orderly trays and files, and being able to locate, track and progress documents efficiently.
You must be naturally organised and methodical and able to manage numerous pieces of paperwork and multiple live jobs simultaneously without becoming overwhelmed or allowing things to be missed.
Computer skills are still required for emails, documents, customer portals and general administration, but the ability to manage an organised physical paperwork system is a fundamental part of this role.
Key responsibilities
Preparing accurate quotations, orders, job sheets and other job documentation. Carefully checking names, addresses, measurements, glass specifications, prices and other important information. Answering telephone calls and dealing professionally with customers, suppliers and contractors. Managing emails and ensuring enquiries and instructions are dealt with promptly. Ordering glass, materials, hardware and other items required for jobs. Sourcing products and obtaining and comparing supplier quotations where required. Scheduling jobs and coordinating appointments for our glaziers. Liaising with customers, site contacts, suppliers and contractors. Organising access equipment, permits, RAMS, site inductions and other job requirements. Managing and progressing a high volume of physical job paperwork through the appropriate office trays and stages. Checking completed job paperwork to ensure all necessary information and documentation is present and preparing completed jobs to be passed on for invoicing. Maintaining accurate paper and electronic records. Filing, tracking and retrieving paperwork efficiently. Following up outstanding information and ensuring jobs do not become overlooked or delayed. The person we are looking for
You will need to be:
Exceptionally accurate and detail-focused. Highly organised and methodical. Very comfortable working in a paper-heavy office environment. Able to manage physical files, paperwork and document trays systematically. Able to keep track of numerous jobs and pieces of paperwork simultaneously. Someone who checks information carefully rather than assuming it is correct. Confident with numbers, measurements, spelling and written communication. Able to prioritise and work calmly when the office is busy. Comfortable working independently and taking responsibility for your workload. Confident speaking with customers, suppliers and contractors. Reliable, conscientious and willing to follow established office systems. Competent with email, Microsoft Office and general computer administration. Previous experience in construction, glazing, property maintenance, facilities management or another job-based/service business would be helpful but is not essential.
Working environment
The office is based at a private house in Totteridge, N20. It is a small, quiet office, generally with one or two other colleagues, and there will be periods when you will be working independently.
This position would particularly suit someone who genuinely enjoys traditional office administration, paperwork, organisation and keeping a busy office system under control, rather than someone looking for a predominantly digital or paperless administrative role.
