About The Role

The opportunity has arisen for a Portal Administrator to join our small remote Finance team based on a full-time, permanent basis. The role will report to our Head of Finance and support our Account Assistant with day-to-day finance activities whilst delivering the highest level of service to internal members and external clients.

Roles & Responsibilities

* Front-Line Support: Answer client and colleague queries promptly (calls, inbox, and portals), logging all interactions and escalating where necessary. Co-ordinate customer requests with other departments to maximise load efficiency and KPIs fulfilment. Resolve invoicing issues by liaising with other departments to ensure smooth resolution. Updating customer portals with job information, quotations, invoices etc.

Ensure more complex problems are raised with the Technical Service Manager and Senior Service Manager.

* Quote Management: Log, edit, and send quotes within agreed timeframes, ensuring accuracy and clear communication with clients and Service department. Follow up on quotations.

* Purchase Orders: Monitor and enforce customer PO compliance across the business, escalating where required.

* Systems & Portals: Maintain client portals with accurate data, documents, and updates in line with SLAs. Timely processing of supplier invoices and claiming on different portals. Maintain accurate records of invoiced and un-invoiced work, ensuring alignment with financial records.

* Inbox : Jointly manage the shared inbox, allocating and actioning tasks in line with SLAs.

* Ad hoc tasks : Dext uploads, statements reconcilation etc.

* Strong organisational skills and the ability to manage your own workload effectively.

* A methodical, problem-solving approach and resilience under pressure.

* Excellent communication skills—confident liaising with both customers and colleagues.

* Proficiency in Excel and other business software, with strong data analysis skills.
