Executive Team Assistant

Location: Monument, London

Pay Rate: 17.00 - 19.00 per hour

Start Date: ASAP

Duration: Ongoing - no end date

Working Pattern: Monday - Friday - Hybrid working, 3 days per week in the office

Hours: 9:00am - 5:00pm

The Role

Our client is seeking a highly organised and proactive Executive Team Assistant / Governance Coordinator to support the Head of the CEO's Office and wider Risk & Compliance function. This is an excellent opportunity for an experienced PA, Team Assistant, or Coordinator who thrives in a fast-paced environment and enjoys working across executive, governance, and compliance-related activities. The successful candidate will be detail-oriented, reliable, and confident managing multiple priorities while maintaining high levels of accuracy and professionalism.

Key Responsibilities

Provide administrative support to the Head of the CEO's Office on both planned and ad hoc requests.Coordinate diaries, manage meeting scheduling, room bookings, and organise meetings, dinners, and events.Liaise with stakeholders across the business to obtain updates and maintain action trackers.Communicate actions and follow-ups to relevant colleagues to ensure timely completion.Support Company Secretariat administration, including:Agenda planningBoard paper collationDocument formattingPDF conversionUploading documentation to Board Intelligence (Board IQ) where requiredAssist with the review, tracking, and sign-off process for meeting minutes and action logs.Maintain gifts and hospitality registers and report relevant activities to Compliance.Support the logging and management of incidents, mandatory training records, and other compliance administration.Assist the Risk & Compliance team with maintaining functional trackers and governance documentation.

Skills & Experience Required

Previous experience within a PA, Executive Assistant, Team Assistant, or Coordinator role.Experience supporting senior stakeholders and managing multiple workstreams.Company Secretariat experience is highly desirable.Strong Microsoft Office and Microsoft 365 skills.Experience using (url removed) is desirable, or the ability to learn quickly.Experience using Board Intelligence (Board IQ) is desirable, or the ability to learn quickly.Excellent written and verbal communication skills.Ability to work independently and use initiative.Strong organisational skills with exceptional attention to detail.Reliable, dependable, and able to deliver work to a consistently high standard.Good judgement, professionalism, and self-awareness.A proactive "completer-finisher" who takes ownership of tasks through to completion.

Additional Requirements
