Medical Operations Coordinator International

Weybridge, Surrey

Hybrid, 3 days in the office 2 from home

DUTIES

You will help ensure smooth medical operations for international markets by managing documents, coordinating contracts, organising meetings, tracking budgets, and working with teams across the company. Operational & Administrative Support Help run medical activities in international regions, manage shared document folders, and coordinate approvals for promotional and scientific content. Document & System Management Keep electronic files organised and up to date (e.g. presentations, meeting notes, SOPs). Track and organise documents related to sponsorships, educational grants, and research support. Budget & Procurement Create and follow up on purchase orders, process invoices, track budgets, and share monthly updates with the medical team. Meeting Coordination Organise international medical meetings and committee sessions: schedule, prepare agendas, gather presentations, take minutes etc. Stakeholder Liaison Act as a link between the medical team and other departments such as Legal, Compliance, Finance, and Regulatory. Contracts & Compliance Support contract creation with Legal and vendors, and ensure all work follows company policies, ethical standards, and industry regulations. General Support Handle other admin and operational tasks as needed, train team members on processes, and support global medical projects when required.

WHAT YOU WILL NEED

A degree in a health–related field or at least 1 year of experience in a similar role (pharma, biotech, or CRO experience is a plus but not required). Good skills in Microsoft Office (Excel, Word, PowerPoint), SharePoint, and project tracking tools; knowledge of financial systems or contract platforms is a bonus. Strong attention to detail, excellent organisation, and ability to handle multiple tasks. Clear communication skills and a team–focused attitude. Ability to work independently and stay self–motivated.
