Description

Job Role – Facilities Coordinator

Location – Birmingham

Salary – GBP30,000 – GBP32,000 DOE

Job Type – Permanent

Our client, a well–established commercial property business, are looking for a proactive and personable Facilities Coordinator to join their team. Working closely with tenants, contractors and the wider head office team, you will help keep buildings safe, compliant and running smoothly, while providing valuable day–to–day support to the main office.

The role

You will be a key point of contact for tenants and contractors across the portfolio, coordinating maintenance, managing service providers and making sure issues are resolved quickly and professionally. Alongside this, you will support the smooth running of the main office, helping with facilities, administration and general office management so colleagues can focus on their work.

Key responsibilities

Tenant and contractor engagement

Act as the first point of contact for tenant queries, logging and resolving issues promptly and professionally. Build strong relationships with tenants, keeping them informed about works, access and building updates. Coordinate reactive and planned maintenance, raising work orders and following jobs through to completion. Source quotes, schedule contractors and check that work is completed to the agreed standard. Manage contractor access, permits to work and RAMS, making sure contractors work safely on site. Monitor contractor performance and service levels, escalating issues where needed. Compliance and health & safety

Keep statutory compliance up to date, including fire safety, water hygiene, electrical and gas testing. Arrange inspections, risk assessments and certificate renewals, maintaining accurate records. Support site audits and help ensure buildings meet health and safety requirements. Main office support

Support the day–to–day running of the head office, including reception cover, meeting rooms, post and deliveries. Manage office supplies, equipment and facilities suppliers such as cleaning and catering. Help onboard new starters with building access, desks and equipment. Process purchase orders and supplier invoices, and help track facilities spend. Provide general administrative support to the property and management teams.
