Property Management Administrator Location
Croydon, South London
Role Overview
We are seeking an organised and proactive Property Management Administrator to support the day-to-day operations of a busy property management business. The successful candidate will provide administrative support across property management, maintenance coordination, tenant communications, compliance, and general office functions.
This role is ideal for an individual with strong organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities Property Management Administration
Maintain accurate tenant, landlord, and property records.
Prepare tenancy agreements, renewal documents, notices, and correspondence.
Process tenant applications and referencing documentation.
Monitor tenancy start and end dates and ensure all records are up to date.
Assist with check-ins, check-outs, inventories, and deposit administration.
Maintenance Coordination
Log and monitor maintenance requests from tenants.
Arrange contractor appointments and follow up on outstanding works.
Obtain quotations and maintain records of completed repairs.
Liaise with tenants, contractors, and property managers regarding maintenance issues.
Ensure maintenance records are accurately maintained.
Compliance & Documentation
Maintain records relating to gas safety certificates, EPCs, electrical inspections, fire safety checks, and other compliance requirements.
Monitor renewal dates and ensure compliance documentation is obtained on time.
Organise and maintain electronic and paper filing systems.
Customer Service
Respond to telephone calls, emails, and enquiries from tenants, landlords, contractors, and visitors.
Provide a professional and courteous service at all times.
Escalate complex issues to senior management where required.
General Administration
Prepare letters, reports, spreadsheets, and documents.
Manage diaries, appointments, and meeting schedules.
Process invoices and assist with basic record keeping.
Assist with data entry and maintaining company databases.
Provide general administrative support to the property management team.
Skills and Experience
Previous administration experience, ideally within property, lettings, housing, or a related sector.
Excellent organisational and time-management skills.
Strong communication and customer service abilities.
Good attention to detail and accuracy.
Ability to work independently and manage multiple priorities.
Professional and confident telephone manner.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Desirable Experience
Experience within property management, lettings, estate agency, or housing.
Knowledge of tenancy administration and compliance requirements.
Experience using property management software.
Working Hours
Monday to Friday, 9:00am – 5:30pm
