Description

We are looking for volunteers to assist the part time administration support team.

About St Clare Hospice:

St Clare Hospice is a charity providing specialist palliative care to improve the lives of people living with a terminal or life-limiting illness in West Essex and East Hertfordshire.

Background to the role and the difference you will make:

St Clare Hospice offers a comprehensive range of community services – caring for people in their own homes, as well as people living in nursing or residential homes.

Our community team is made up of Clinical Nurse Specialists in Palliative Care, and our Hospice at Home team.

Our St Clare Clinical Nurse Specialists are highly trained specialist palliative care nurses who help with complex symptoms, such as pain control. They give emotional support and specialist advice to patients, their family, and anyone involved in their care.

Our Hospice at Home team provide care to people who would prefer to remain in the comfort of their own home, or their usual place of residence. Our nursing assistants can support with all aspects of personal and social care, such as washing & dressing, as well as providing emotional support.

These teams are exceedingly busy. In the last 12 months our community team saw over 700 new patients; More than 450 families were supported by our Hospice at Home team; and the St Clare Clinical Nurse Specialists in Palliative Care made more than 2,600 face-to- face visits and 6,500+ phone calls.

The teams currently only have part time administrative support. They would greatly benefit from additional help in order to get on top of some of the things that would enhance the service, but at the present time we do not have the capacity to do consistently. Your help would enable our specialist teams to deliver the best possible care and support to their patients – maximising the time they can spend out in the community rather than in the office.

What you will be doing:

Archiving the records of patients who have been discharged from our services –
Take each patient’s notes out of their yellow folders and place into an archiving envelope
Label the envelopes clearly and accurately as per agreed process
Take the records to our IPU archive room
Store the records in alphabetical order
Create and maintain a stock of ‘New Patient Information Packs’ so that staff always have information ready to take to new patients.
Keep supplies of other forms and leaflets well stocked and up to date.
Research local services in order to update our information about support patients may be interested in.
Support the process of gaining feedback about the quality of the service we provide. This could involve:
maintaining records of who questionnaires are being sent to
sending questionnaires out
collating the responses that come back
monitoring our response rates
The skills / experience / personal qualities you will need:

Accuracy and attention to detail – especially when dealing with patient records.
Able to maintain confidentiality of information at all times
Physically able to maneuver patient notes from one room to another
Understanding, and respectful of, the hospice environment
Literate
Comfortable using a computer for internet research, and basic use of Microsoft Office programs like Word and Excel.
Organised
Friendly and helpful at all times when interacting with colleagues
Able to work well in a team as well independently when required.
The time you will be asked to commit:

A couple of hours once a week would be beneficial for us.
