Description

To co-ordinate and respond to all enquiries to maximize sales in all private rooms
and other hotel areas. Essential to this role are exceptional organisational skills, natural
charm, the ability to communicate effectively, multi-tasking and leading by example to
deliver an exceptional experience to the guests. This is a high-pressure role where
complete and simultaneous ownership of guest experience, team performance,
coordination and revenue targets must be delivered creatively and with care.

HOURS OF WORK:

Full time position, Tuesday to Saturday (no split shifts)
Sunday wedding fayres (Once a Year)
Additional hours may be required in accordance with the demands of the business

MAIN RESPONSIBILITIES
• Maximise usage of conference space and accommodation to ensure optimum revenue is generated.
• Managing budgets and bookings in line with overall hotel budget and targets
• Establish effective relationships with key clients - personal interaction on all corporate and private events
• Ensure procedures are followed and function sheets are updated with attention to detail and excellent communication to operations
• Excellent awareness of business in the hotel and to ensure all guests are welcomed by a member of the events team
• Ensure strong knowledge of F&B, make recommendations can be made to guests
• To listen to clients and ask leading questions in order to fully understand requirements for effective proposals and to deliver exceptional events.
• To attend and contribute to all meetings and training as assigned by the M&E Manager.
• To ensure department administration is completed accurately and efficiently
• Taking proactive ownership for guest experience through strong departmental communications
• To ensure all incoming calls are answered promptly, in the correct manner and converted into sales
• To ensure all correspondence is processed and answered within 24 hours.
• To ensure all booking function sheets are complete with full and accurate booking details/ guest information, updating with changes as they occur and sharing with operations/finance/reception teams
• Knowledge of pricing policy and credit terms, communicating with accounts on a regular basis ensuring payment policies are adhered to
• To encourage and perform show rounds of the hotel with clients

HOTEL RESPONSIBILITIES
• Knowledge of the hotel as a whole, with specific reference to conference room capabilities, layouts and usage
• To support all business development departments by handling overflow phone calls
• To develop and maintain working knowledge of Oatlands Park Hotel’s products and services
