Our client, a successful construction company based in Hertfordshire and voted one of the best companies to work for are currently recruiting for a experienced Administration Assistant to work on one of there construction sites in Watford

OVERVIEW OF ROLE

To provide administration support to the operations and wider project team
To assist with the smooth running of the administration requirements

KEY RESPONSIBILITIES

• To be an initial point of contact for general enquiries
• Being a point of contact for Site Managers/operatives for on-site admin requirements
• Provide administration support to Contracts/Project or Site Managers
• Maintain and update Site/Site Managers records/documentation and filing
• Manage daily diary and site administration forms
• Maintenance of General Filing
• Filing electronic documents/updating Drawings/Preparation of Reports
• Monitor and manage timescales required under NEC contract and chase timely responses from all parties
• Commercial understanding of NEC 9(with on site training).
• Collation of new project folders to the system and archiving
• Set up and maintain CSCS registers
• Support Considerate Constructors Scheme inspections
• Production of Site Newsletters and information bulletins
• To undertake the production of sub-contractor orders and invoicing on the Mardak / COINS system (with training)
• Responsibility for the collection and collation of the project’s O&M Manual to be issued upon project completion/handover in a timely manner
• Progress chasing of information required for O&M Manuals from sub-contractors/suppliers
• Develop and operate a system to allow CM’s to dictate who the drawings go to. (ultimately to become a drawing register) – potentially using Business Collaborator software
• Responsible for maintaining revisions to standard forms once created
• Organise Meetings as required
• Responsible for provision of refreshments for meetings/training as required
• Responsibility of collating all site holiday forms onto the Group calendar
• Order and preparation/collating of First Aid supplies for site 
• Generally to undertake other duties as required within the operations team

• Contracting/Construction Administration experience essential
• Good IT skills including Microsoft Word, Excel and Powerpoint
• Attention to detail and accuracy
• Ability to work to tight timescales
• Ability to use initiative and suggest alternative methods of working to improve efficiency
• Good time management and organisational skills
• Ability to consider/produce new effective methods of working
• Capable of operating a document control system
• Ideally understanding of NEC timescales and ability to manage and track against these
• Ability to drive with own transport is desirable
