Gibson Kerr is a long established, central Edinburgh, legal practice with a good client base, specialising in residential conveyancing and estate agency, family law and personal law work. The business is a three partner firm, with three other qualified solicitors and a trainee solicitor.   We operate from two offices in north central Edinburgh.

We are looking for an experienced family law secretary/ paralegal who wants a challenge.

We have a busy family law practice and require a secretary/ paralegal to support two solicitors who deal with family law exclusively.  His/her responsibility will be to support the solicitors in this department and to conduct some cases themselves under supervision.   There will also be legal secretarial responsibilities, including typing letters and documents, primarily for the family solicitors.  The position will involve a high degree of usage of case management software. Training will be provided, but in essence, all that is required is a working knowledge of MS Word, Excel, email and familiarity with the Internet.

Job Title:    Family law secretary/ paralegal

Qualifications and Skills:    Experience of family law
    Ability to work with minimal supervision
    Computer Literate – MS Word, Internet, Excel (basic), email
    Audio typing
    Touch Typing
    Knowledge of Sheriff Court procedures
    Knowledge of Court of Session procedures would be an advantage
    Legal secretarial experience would be an advantage
Pleasant and outgoing manner with the public, both on the phone and in face-to-face meetings

Responsibilities:    To support legally qualified staff in the Family Law Department.  To carry out family law casework under supervision.
To provide general secretarial, administrative and client support primarily in the area of family law, but also in the areas of conveyancing and private client work particularly to cover holidays.  We are a small firm and every staff member must be willing to help with whatever needs to be done.   

To effectively use the case management system in production of legal documents and letters.

To develop office administrative procedures to ensure smooth and reliable flow of work through office.

Job Purpose:    To support the family law department by delivering an accurate, quality, on time service to clients and support to internal staff members in relation to printed output, telephone and email handling and face-to-face contact.    

Standard expected:    Must abide at all times by the ethical code applicable to Scottish solicitors. In particular must keep all information relating to clients strictly confidential, must not voice criticism of other solicitors/organisations to clients/public and must be aware of restrictions on touting for business.  

    Must be dressed and groomed suitably for the job in hand.

Conditions of Employment:    Working hours will be 8.30 till 5, Monday to Friday. More may be required from time to time, on a voluntary basis.

There may be some requirement for out of hours work, possible telephone answering, depending on how we decide to deal with out of hours contacts.
We do not take any public holidays, apart from 2 days at each of Christmas and New Year and one day on Easter Monday. Five weeks annual leave is given.

    Salary negotiable, depending on experience.

Three months’ notice of termination of employment is to be given on either side, though there is a three-month probationary period during which the employer only requires to give one week’s notice. Three months’ notice period applies to the applicant during the probationary period.
