Olyvia Fine Art are currently recruiting for a Personal Assistant to their Director.
Olyvia Fine Art are a St. James based Art Gallery specialising in Modern and Contemporary art, however this role will be less involved in the day-to-day running of the gallery and more concerned with the coordination of the personal life of the Director and her family. This position will involve a combination of both family and household related administration as well as some business related tasks, in a fun and dynamic working environment where no two days are the same.
MAIN DUTIES:
Organising a frequently changing Diary
Making complicated travel arrangements in conjunction with the familys concierge
Dealing with incoming emails and post
Human Resources for Domestic Staff
Maintaining personal inventory of fine art and other valuables
Updating Insurance policy on a regular basis
Personal Shopping
Accompanying Director to personal appointments
Assisting in coordinating schedule of nanny and baby
Organising contractors for household maintenance
Light administrative duties for other family members.
Liaising with clients, and other staff members
Making sure Director is organised for meetings (incl. keeping iPad up to date with stock inventory)
Keeping Director up to date with the International Auction Schedule
Providing cover for gallery as and when required
Carrying out specific projects and research as directed
SKILLS REQUIRED:
Graduate to degree level or higher
LANGUAGE SKILLS excellent English, second language desirable (pref. French, Italian, Spanish or Mandarin).
Experience in a similar PA role
Excellent presentation, administration and communication skills.
COMPUTER LITERACY - knowledge of Mac OX, word, excel, office etc. and use of iPad and iPhone
Meticulous attention to detail
Flexible and able to adapt to different roles as and when required
Willingness to travel
Interest in the Arts preferable
Salary 19,000 plus expenses (to be discussed at interview)
