NOTE - OFFICE CURRENTLY IN PEACEHAVEN, EAST SUSSEX BUT MOVING TO STEYNING, WEST SUSSEX.
Wonderfully organised administrator needed for busy weekend and short break tour operator. Role involves administration, general office management, secretarial and sales support with potential to grow for the right candidate.
We are a rapidly-growing online tour operator offering tailor-made short breaks, weekends away and one night breaks in the UK and abroad for groups of 4 - 40 for birthdays, stag and hen groups, leisure and corporate clients.
We need an office administrator to work with our Head of Marketing from her home office which is currently in Peacehaven (but likely to move to Steyning in the next 12 months). There will also be the opportunity for home working once a certain level of experience and understanding has been achieved.
The main purpose of the role is to manage the booking process and organisation of trips including invoicing, taking payments, booking and paying suppliers, managing booking changes, organising itineraries and producing trip documentation.
We need an exceptionally organised, confident and motivated individual. As the right candidate, you will:
Have at least two years relevant work experience.
Have ABSOLUTELY fluent spoken and written English - additional languages are a bonus.
Be methodical and organised to the point of extreme!
Have very good writing skills you can write clear, professional emails quickly and easily.
Have excellent computer skills you will be highly numerate with experience of using excel spreadsheets, creating and managing spreadsheets and formulas, word documents and the usual email programmes.
Good mathematical understanding and any basic bookkeeping skills a bonus.
Have a friendly, confident and professional telephone manner you will be as happy talking to an 18-year old hen group as you will talking to the MD of a corporate group.
Be capable of working on your own and managing your own time and judging priorities.
Enjoy multitasking! You can manage several things all at once and not drop the ball!
Have a good geographical and practical knowledge of the UK and Europe.
More specifically, the role will involve managing all aspects of our administration, including:
Generating invoices for new bookings, contacting clients and explaining payment methods and terms
Managing financial records, chasing client payments keeping invoices updated
Keeping reservations records up to date both spreadsheet and online based.
Booking suppliers, hotels, transfers, activities and managing the payment of these suppliers, and keeping supplier database up to date.
Managing changes to bookings, recalculating costs where necessary and altering arrangements accordingly
Answering the telephone, dealing with client and supplier enquiries, and forwarding to the correct member of the team
Ad hoc research and fact finding exercises
Writing up trip documents including quotes, invoices and final documents with full itineraries
The list above is by no means exhaustive - this role has a huge potential for growth and might well suit a mature candidate, returning to work and looking for a role growing in demand with flexible hours.
Salary on offer is in the region of £7 per hour for 20-25 hours per week initially.
