Office Administrator/Bookkeeper

£18k to £20k depending on experience + PHI + contributory pension

The role
The Office Administrator will manage the administration of the e-Learning Foundation in support of an organisation that is efficient, effective and customer friendly. The activity will change over time but the major ones at present are:

• Log income and expenditure into the Xero system
• Generate purchase orders and invoices
• Set up payments via LloydsLink
• Administer the invoicing and collection of Affiliation Fees from schools.
• Administer the invoicing and collection of Delegate Fees for our conferences.
• Monitor and control selected Administration and Communication cost centres against budgets.

Donation Management Service (collection of donations from parents)
To fully deputise for the DMS Manager including:
• The handling and resolution of enquiries from parents and schools
• The processing of data into the DMS system
• Running reports
• Issuing DMS contracts and supporting documents to schools

Contact Database
• Contribute to keeping contact records up to date.
• Manage Regus relationship including payment of rent and making room bookings
• Collect and distribute post
• Maintain stocks of basic office supplies

Grant Round administration
• Fielding enquiries
• Acknowledgement and logging of all applications
• Notification of decisions to applicants
• Processing claims
• Organising quarterly Board meetings and regular team meetings
• Organising and taking minutes of monthly team meetings.
• General administrative support to the senior management team
• Occasional general administrative support to School Liaison Managers.
• Maintain the daily back-up of system data.
