Overall purpose

• A team of full time Imaging Specialist’s are require to undertake scan centre operational processes and ensure a smooth and efficient service is provided to all Capital Capture clients

Reports to
• QBE Supervisor

Pre-requisites
• Self motivated with the ability to communicate effectively
• PC literate with knowledge of Microsoft office products
• Flexibility to move between different tasks during the day
• Ability to be temporarily located in Bristol, Norwich or Dublin should the business require
• Working knowledge of Kofax Ascent Capture
• Previous experience in a high volume scanning environment desired

Key tasks General

• Interface with the wider Capital Capture arena to understand all aspects of the business
• Ensure good communication is upheld at all times both with the internal team and all areas of the QBE business
• Ensure all work areas are kept tidy and documents secured at all times promoting a professional working environment

Specific QBE Tasks

• Understand the daily work flow of the Scan Centre
• To gain a thorough understanding of all the scanning processes,

Preparation – Collect envelopes from the mail room. Remove documents from envelopes, sorting according to established rules. Removing staples and binders and building batches of documents utilising the appropriate separator sheets. Identifying “Original Documents” and taking appropriate action. Identifying “Poor Quality” documents and taking appropriate action. Apply batch sheets and log into archive boxes ready for the next process.

Scanning – Identifying and opening appropriate batch within Kofax. Scanning all pages of the batch according to established rules and to a high quality standard. Closing the batch and signing off when complete. Ensure that the scanner is performing to a high quality standard at all times.

Quality Assurance – On specifically selected batches undertake 100% quality check of accuracy and completeness, on a page by page comparison with the hard copy documents. Any errors as defined in the procedures manual will be logged and rectified. The document indexing will be checked with certain fields be blind keyed to establish accuracy. Indexing – Open next available batch within Kofax. For each document in the batch manually key “Claim No”, “Policy No”, “Year”, “Document Type”. The documents will have one or more fields applied depending on the information on the document. The document type is selected from approx. 30 options and determined as defined in the procedures manual.

• Ensure all paper work/spreadsheets are completed on a daily basis in a timely manner
• Ensure all procedures are adhered to allowing FM standards to be maintained
• To ensure all hardware is suitable for use

o Undertake daily checks
o Conduct weekly cleans
o Escalate faults in the given manner

• Escalate accordingly any problems, issues or concerns that affect delivery of the service SLA's
• Ensure good communication within the team and other areas of the QBE business at all times
• Ensure familiarity with the daily reporting structure
• Any other ad hoc duties the Supervisor may request of you
