Essential Must Have Your OWN CAR In Order To Travel To Sites Above
Our Prestigious Client, Who Has Various Sites Within The Central Belt Require A Mobile Facilities Coordinator To Cover Office Receptionist/Administrator Role. The Role Is Longterm Temporary.
As The Successful Candidate Previous Office Based Reception And Administration Experience Is Essential, You Must Be Bright, Bubbly, Highly Motivated, Articulate, Professional And Polite At All Times.
Duties Include:
•Mobile Facilities Coordinator Required Too Cover Staff Shortfall I.e. Holidays, Training Days, Sickness & Maternity Leave At Up To 10 Sites In The Central Belt
•Must Have Your Own Car And Be Flexible To Travel To Alternative Sites (as Per Weekly Rota), These Include, Cathcart/Cumbernauld/Kirkintilloch/Bellshills & Falkirk
•Must Be Available And Flexible To Work Between 8am-6pm Mon-Fri – Hours Are Non Negotiable
•Creating A Professional Image For Company
•Answering Switchboard And Transferring Calls
•Be First Point Of Contact For Clients + Visitors (no General Public Visitors)
•Update In-house Computer System + Update Excel Spreadsheet With Confidential Information
•Ensure All Contractors Have Signed Appropriate Induction Forms
•Maintain On-site Files – These Files Hold All Site Information And Include Contractor Induction Forms
•Sort Mail For Distribution To Departments And Distribute Throughout The Building
•Collect Mail From Various Locations Around The Buildings And Sort For Franking Into 1st & 2nd, Recorded Delivery, Special Delivery And Internal
•Record All Incoming And Outgoing Mail, Telephone Calls, Visitors, Couriers And Contractors To Site And Update On Weekly Report
•Answering Telephone Calls Directing Calls To Correct Person Or Department, Issue Visitors With Passes, Ensuring They Know Of Fire Procedures And Relevant Assembly Point
•Each Site Own Morning Procedure
•Each Site Own End Of Day Procedure
•Administration Duties As Directed By The Company
•Meet The Guaranteed Standards Set By The Company
