Outline and Purpose of the Job:
1. To support the Fee Earner(s) in all aspects of their work and responsibilities to ensure they are able to operate at an optimum efficiency level at all times.
2. Key tasks will include dealing directly with clients and colleagues on the Fee Earner’s behalf and carrying out any administrative or other tasks reasonably delegated.
Main Duties and Accountabilities:
1. To produce documents and correspondence by word processing / audio typing as directed by the Fee Earner(s). Wherever possible, dealing directly with simple correspondence, including the drafting of own letters and documents.
2. To carry out the following out of office duties as required: attending clients’ properties with Fee Earner(s), executor duties (i.e. registering of deaths etc.) and accompanying clients to other solicitors to swear oaths.
3. To deal with clients and others, both on the telephone and in person. Wherever possible dealing with matters directly or taking detailed messages in order that the Fee Earner(s) can deal with the matter upon their return to the Office.
4. To set up new files accurately and speedily as instructed by the Fee Earner(s), ensuring that all files comply with departmental procedures and the companies ‘quality’ standards.
5. To maintain client details on the firm’s database (Videss), ensuring they are updated regularly.
6. To deal promptly and accurately with all filing on a daily basis, including the storage and retrieval of client files.
7. To manage the Fee Earner(s) diary, including arranging appointments and meetings; organising travel, etc. as required; and ensuring all meetings have appropriate facilities such as room, refreshments etc.

8. To manage the billing process, including the preparation of statement of accounts.
9. To ensure the confidentiality and security of all practice and client data, documentation and / or information at all times.
10. To assist in the smooth running of the administration and secretarial support for the Department, and where appropriate to provide support to other Fee Earners and secretarial staff within the department.
11. To regularly check with Reception as regards incoming mail and faxes to ensure that all incoming mail and faxes reach the Fee Earner in a timely fashion.
12. To undertake any other ad hoc duties as requested by the Fee Earner(s).
Skills and Experience:
1. Audio typing (approx. 65 -80 wpm)
2. Good knowledge of Microsoft office packages (especially Outlook and Word)
3. Knowledge of Legal Client Database (eg. Videss)
4. Previous legal secretarial experience
