3-month-internship – Travel and lunch expenses will be covered.
This is a great internship offering opportunities to develop web and marketing skills, event organisation and how to plan, prioritise and multi-task in a small but very busy office.
The company
Our client was launched in January 2006, is a business networking club for senior PAs (based largely in London) and companies (Supplier Members) who offer goods and services that the PAs purchase on behalf of their companies - flights, hotels, corporate gifts etc. They run regular evening events whereby the PAs and Suppliers can meet and we have a website and a programme of regular email shots to keep the PAs informed of supplier offers etc. They currently have 2000+ PAs on our database and approx 100 Supplier Members. There is huge potential in the Club - for increasing the membership, for tailoring it more to the PAs' personal needs and for taking it to other cities.
Job Description
Answering directly to the Managing Director, the company’s Office Manager is the "face" of the club and ensures that the club, its events and publications schedule run efficiently. He/she is the first point of contact for all members and is responsible for day-to-day communications with them and for keeping the membership database updated.
Specific duties include:
- Weekly credit control; raising of invoices; management of online payment system for subscriptions etc.
- Liaison with Web Developer; management of web content; uploading/downloading banners and hyperlinks; editing text (Dreamweaver); mailmerge of announcements/invitations to the membership.
- Event planning; liaison with venues; mailing invitations and managing guest list; badging; manning reception desk.
- Collecting and editing material for regular e-zine, layout and emailing.
- General office duties; ensuring that all paperwork is properly filed; maintaining proper filing system on the PC; responding to daily enquiries; collecting post; banking cheques.
Person requirements
Good organisational and planning skills and ability to prioritise essential.
Ability to work alone and use initiative desirable.
Excellent telephone manner essential and ability to welcome guests to events.
Good IT skills essential, particularly Access and Dreamweaver.
Experience of accounts and credit control desirable.
Experience of event organisation desirable.
Must be able to work occasional evenings.
