Legal Secretary Financial Services Group City Law Firm Up to £33,500

An outstanding opportunity has arisen at this City Law Firm to be PA to a Senior Partner as well as a team of four solicitors. You should only apply if you have the following background:
• Previous Legal Sector experience
• Likely to have large City Law Firm experience
• Likely to have Company, Commercial, Corporate or Banking exposure with a City Law Firm
• Likely to have previously acted as a PA or Secretary at Partner-level
• Finally, the role has an element of Typing as well as considerable electronic filing and inbox management

The main focus of this role is to provide high level assistance to a team of legal advisers/partners or large clients. They will be responsible for a broad range of activities including:
• Pro-active use of off shore team, providing feedback where appropriate to Office Manager
• Proactive management of secretarial related tasks
• Urgent/confidential work delivered. (Dictation, manuscript and copy typing and production of pitches and tenders)
• Diary and travel management, anticipating future demands of team members and actions required
• Organising and planning meetings to include coordinating agendas and papers for internal and external meetings
• Assisting legal advisers with e-filing including scanning correspondence and hardcopy documents
• Management of client extranets
• General administration (room booking, expenses, responding to central and Practice Group initiatives/requests)
• Managing document printing (engrossment, general printing and photocopying), collation, production and copying
• Billing and financial support (including rate changes, monies in/out, management of client balances, payment of third party invoices and monthly and quarterly billing runs with status report updates and financial client reports, liaising with finance department/legal advisers to resolve any account queries, help compile list of client billing rates)
• Assisting legal advisers to open new matters
• Maintaining client information on client files / Share / Client Engagement Bank / Webinars
• Supporting knowledge management and knowledge resources in the team
• Dealing and screening calls delivering a positive client experience
• Support legal advisers with marketing and BD related activity including events, preparing marketing activity reports
• Manage critical dates diary
• Help arrange internal training events
• Any other task allocated by Office Manager to reduce non-chargeable time being incurred by legal advisers.
• Ensuring client confidentiality is maintained at all times
• Keeping up to date on and adhering to firm wide and practice group specific policies and procedures
