Our client, a leading city based Global Investment Company based in central London is looking for a PA/Team Administrator to support a team of up to 13 people in an ongoing temp role.
Key responsibilities:
PA
Diary management for senior team members - organise meetings, book meeting rooms, schedule and co-ordinate appointments, etc
Act as point of contact for the team within and outside the organization
Vetting and prioritising of incoming correspondence prior to distribution/action as requested
Assist with monthly and quarterly compliance record keeping
Update staff leave records holidays, sick leave and training
Pro-actively assist senior managers with their time management and ensure they are reminded of approaching deadlines in a timely manner
Make travel arrangements as necessary, i.e. arrange for Visas, taxis, hotels, flights. Follow-up and ensure successful completion of instructions
Ensure relevant authorisation and documentation is completed
Team Administrator
Answer and direct calls in a professional and direct manner
Screen telephone calls, enquiries and requests, handling them if they do not need to be passed on
Receive and process all of the teams expenses, ensure the necessary forms and other documents are completed in a timely manner. Ensure deadlines are met.
Compile reports, presentations and other documents as required
Devise, implement and maintain systems to deal efficiently with the organization and storage of paperwork, documents and computer based information
Order business cards, stationery and daily newspapers
Copy and distribute information as required
Generating reports Liaising, compiling and producing monthly, quarterly, half yearly and yearly reports
Suggest and implement improvements to systems where appropriate
Ad hoc tasks such as the ordering of office supplies, marketing supplies, text books, journals, orderly archiving and retrieval of files etc
To be considered for this role you will be able to demonstrate the following:
Ideally over 4 years PA experience
Exceptional organisational skills
Excellent problem management and communication skills.
A team member but equally able to work under pressure and alone as required.
Good prioritisation, time management, administrative and organisational skills.
Ability to manage the expectations of a rapidly expanding / demanding user base
Articulate, confident and able to deal with clients and management at all levels
Positive, outgoing and enthusiastic personality
Ideally Advanced skills in Microsoft Word, Excel, PowerPoint and Outlook
Ideally Advanced typing speed with a high level of accuracy
Ability to cope with pressure and to maintain ones sense of humour
